Even if it feels like “just a few friends” or “just the family,” the planning can start to shift once multiple rooms, payments, questions, and traveler preferences are involved.

What happens on the consultation call?

We talk through the purpose of the trip, who the trip is for, your estimated group size, timing, destination ideas, budget range, and any details that could affect the planning process.

The goal is to understand what you are hoping to create, what support your group may need, and whether Fly Escapes is the right fit before a proposal is developed.

Do I have to know exactly who is going before I book the consultation?

No. You do not need every traveler confirmed before the consultation.

You should have a general idea of who the trip is for, how many rooms may be needed, when you would like to travel, and what kind of experience you are hoping to create. The consultation helps clarify what information should be gathered before the trip is presented to others.

What if some people say they are interested but have not fully committed yet?

That is common with group travel. You do not need every traveler fully confirmed before starting the planning process, but there should be genuine interest and a reasonable sense that your travelers are ready to consider the trip once clear details are available.

What am I actually paying for with the proposal fee?

The proposal fee covers the professional planning work required to research, shape, and present trip options that make sense for your group.

That may include destination and supplier research, recommendations based on group fit and trip purpose, proposal development, planning guidance, and the structure needed to help your travelers understand the trip before booking.

How much are proposal and planning fees for group trips?

For non-wedding related groups, proposal and planning fees range from $249 to $499, depending on the complexity of the itinerary and the level of planning support needed. Once I understand the type of group trip you are planning, I’ll guide you to the planning fee option that best fits the scope of your trip.

Is the proposal fee refundable if I decide not to book?

No. The proposal fee is non-refundable and non-transferable because it covers the planning work, research, recommendations, and time invested before travel arrangements are booked.

If you decide not to move forward with the trip, the planning fee still applies.

Do all travelers have to book through Fly Escapes?

For travelers to be included in the group planning experience, trip communication, booking support, and any group-specific arrangements, they should book through the Fly Escapes process provided for the trip.

Travelers who book outside of the group may not be included in group arrangements, room blocks, amenities, payment tracking, communication, or coordinated support connected to the planned experience.

Do I have to pay for the entire trip upfront?

In many cases, no. Many vacation packages can be secured with a deposit and paid over time, with the final balance due closer to travel.

Payment options depend on the supplier, travel dates, room category, package type, airfare, and how close the trip is to departure. If payment flexibility is important for your group, please mention that during the consultation.

Will I have to answer everyone’s questions?

You may still receive questions from your travelers, especially because you are the person bringing the group together. The goal is to reduce how much has to run through you.
